The problem

Following a major weather event affecting most of a State, a large insurance company have received a large increase in submitted claims relating to the event.

The company needs to quickly and efficiently onboard a large number of new employees and contractors to keep up with the increased volume in workload.

Our solution

An RPA bot was built to automatically perform the following tasks:

  • Interact with the Recruiter Software’s API (PageUp) to extract the candidate’s relevant information, and download relevant Starter’s attachments (Superannuation forms, VEVO Check).
  • Send the attachments to ABBYY FlexiCapture’s server for data extraction, which is then sent back to the bot.
  • Enters the retrieved new Starter’s data into the company’s HR systems, and setting up payroll with the new employee’s account details.
  • Generates an employment contract containing the applicable terms and position details, and sends a copy alongside other relevant Starter documents (e.g Enterprise Agreement) to the new employee’s email.

The results

  • The HR team’s workload was not severely impacted due to this event, and were able to prioritise more complex HR cases.
  • The company was able to see cost savings and increased data security by not requiring to engage offshore resourcing in the event of another future catastrophic weather event.
  • Maintained quality of service and customer response time, leading to higher customer satisfaction and trust.
